Transcript for "Fix AP Before It Breaks: Vendor Management & Invoice Compliance in NetSuite":
Good afternoon, everyone. Hopefully, you've managed to log in and access the webinar today, so I'll wait a a few minutes before we commence proceedings just to ensure that we've got everyone who needs to be here online. Okay. Might as well just get started. thank you very much to everyone who attended today's webinar. We're proud to present the Zone & Co team with OneKloudX today to take you through some of the solutions that they offer to the market. For those who don't know me, my name is Robert Jurcec. I'm the CEO and founder of OneKloudX. Today with me, I have Andrew Bennett. Andrew, would you like to introduce yourself? Thank you, Rob. Yeah. Hi. My name is Andrew Bennett. I'm the partner technical consulting manager for Zone & Co. So I have been working with the NetSuite platform for about twenty years now since, 2006 where I was originally a solution consultant. So a lot of time on the platform. And it's gonna be your very dubious pleasure to to hear me speaking quite a bit today about, a lot of the Zone & Co offerings, particularly focusing on the AP automation space. Fantastic. Thank you, Andrew. Appreciate you joining us today. And, unfortunately, Scott had an emergency I have to attend to, so he's given us his sincere apologies. So, yeah, it's, today you'll be with, Andy and I, so let's get cracking. Awesome. Alright. Thank you then, Robert. So, exactly as Robert said, I will be filling in in a few spots here for Scott. Hopefully, things go as smoothly as possible and according to plan. But I thought I'd give you... Even though we're focusing very much on AP automation today, I wanted to give you a bit of a a level set across the entire solution portfolio that Zone & Co offers. So as you can see here, we really have solutions across the entire NetSuite ERP foundation from billing to AP to reporting, payroll, and very much beyond. As I mentioned, we're gonna be focusing on today AP. But just know it's much... Part of a much bigger platform itself. In the next webinar that we've got going on on the October 16, we'll be doing a deep dive into Solution seven by Zone, which is our Excel based financial reporting and budgeting tool that's designed to work directly with live NetSuite data. And just to summarize things for you a little bit, as you can see the portfolio on the screen there, starting off with zone billing and zone capture, those tend to be our heavy hitters. Now some of you might already perhaps know us for billing perhaps, but we've got over 4,000 companies globally using Zone & Co for various different products, including over 300 in APAC alone. Those tend to be our start points. But we also have zone approvals and zone reconcile. And these are our expansion engines that we'll touch more on, a little bit more later in the session, particularly zone approvals. They turn a basic capture tool into a full AP's operation workflow by automating approval chains and matching 95% of bank transactions natively. And we've also got Zone & Co payroll. Now we're one of the few native payroll and lead management solutions built directly on the platform. I won't talk about that today necessarily, but, again, we can get into that in another conversation at another time if you like. Moving on then. We're gonna kick off today's session itself with a poll. In fact, two polls, in fact. I wanna see a, a quick show of hands on a couple of things. So the first poll I want to ask you about is what's currently eating the most time in your AP processes? Is it chasing vendor details and onboarding? Is it manual invoice entry? Is it approval sitting in someone's inbox, getting payments actually out the door, or perhaps honestly, all of it. Okay? So that's the first poll. It'd be great to understand a little bit more as to who I'm talking to today. And then the second poll, I'd like you to have a crack at answering for me, please, is how many separate systems does your AP process currently touch start to finish? Is it one to two, three to four, five plus, or perhaps similar to how many unfinished DIY projects I've currently got sitting in my garage? Maybe you've generally lost count. I'll just give you a moment to respond there, and I'll take a look at the answers here. So let's see. K. Put both the polls in there now. I'll give you all just a couple more moments to put in some responses. Okay. Alright. Interesting. Okay. That's a very, very, interesting take. Got quite a a reasonable broad spread of answers there. Some people... It's about that manual of the invoice entry. Some people actually said, honestly, it's it's all of those issues. And quite a remarkable number of people have been saying that over three to four or five plus AP systems, are currently in place at the moment. So it's quite a a a regular room to be talking to today, so I'm glad that I'm on familiar grounds. So I think, first of all, then let me draw context to the the picture on the screen here and actually give it some rationality itself. Now if your AP process currently runs on a fragile ecosystem of things like sticky notes, three versions of the same spreadsheet, and perhaps one long suffering colleague who's the only person who knows actually where anything is. Congratulations. Right? You've built exactly the same slightly held together system that every other finance team has built. It's not just you. It's absolutely everyone. Now the maths is depressingly simple. Scattered invoices, scattered invoice capture plus approvals nobody can see equals manual cleanup, delayed sign off, and limited visibility. And that's before a transaction's even become a clean payment. And compliance mandates are quietly making that more expensive whilst nobody's looking. So let's fix that or at least give you a fighting chance before it becomes someone's problem at 04:45 on a Friday. So here is the shape of the next thirty, forty odd minutes or so. Four things and rather talk about them all in abstract. We're actually gonna spend a day in the life with one actual vendor and watch what happens at every single step. So I'm gonna introduce you to Bennett Steam Cleaning Services, right, our vendor. They're already a vendor on our books, and they're about to send us an invoice. And we're gonna follow that one thread all the way through, queried, approved, and paid rather than four separate demos that kind of vaguely gesture each other. So we're gonna do, answers before you even ask for every single approval and every payment on demand without building a report to find out. We're gonna do invoices correct before anyone's even looked, then an actual invoice that reads itself. We're gonna do sign off sorted before it stalls where an approval doesn't vanish into someone's inbox, and we're gonna finish it all off with paid where it was approved and actually have a payment that leaves the building without visiting three other different systems first. Now if any of that sounds suspiciously specific to a problem that you personally had this month, good. That's the point. So what I'm going to show you first is Zone and Co control center. Now what it actually does is simple to describe. Everything happens across the... Happens across capture, approvals, and payments, and more. Every vendor, every invoice, every status, they're all in one place in one time. Not a report that ran this morning, not a dashboard that someone built for you last quarter and forgot to update. And sitting inside it is Zoe. Rather than clicking through menus hunting for an answer, you just ask in plain English, like you're asking a colleague who's actually read everything. I'm gonna ask it two things, so let's switch across to see what that actually says. So this is the zone control center. Hopefully, you can all see that on your screen nice and clearly. Now the keen eyed amongst you will notice that we are very much embedded natively within NetSuite within this environment. So all the solutions you're gonna see today are NetSuite native, and the idea is is they are just an expansion of the core platform that you already know and love. We're just giving that additional capability in various different areas that NetSuite, in its own, doesn't necessarily provide that enhanced functionality. Now in the first view that we can see on the screen here, I've got my home dashboard within the control center. And, again, every single metric on here is relatively self explanatory, but it's giving me that really keen insight into exactly what's going on within my AP processes. I can see what I need to process, what I have processed within the timeframe that I divide the designers to view across and I can even also filter based on further entities if I've got a complicated multi company consolidation structure. I can take a look at metrics and see the the workflow of how things are progressing through the system and identify whether or not there may be any particular bottlenecks or issues that I can take a look at additional optimization. Now on top of the the home screen, you can also see that this is a centralized place for all of your zone solutions. And we're not gonna touch on some of these today. But, again, as you'll notice, you can see I can get access into our reconcile tools, our billing tools, our reporting tools, and even across into some of our vendor management capabilities as well, all from one screen, all from one interface. Now we'll come back to this in a little bit more detail when we're looking at CAPTCHA, approvals, and AP payments. Just to finish off this little segment on, the zone control center, I want to introduce you to Zoe. So down in the bottom right hand corner here, you can see we've got the little emblem here to open up a chat, and I'm gonna start off a new conversation with Zoe. Zoe is our embedded AI solution that is across all of the zone, products, which optimizes your feedback around, information that you need to get from the system and asking all those correct, questions. So I'm just gonna ask an initial prompt here from Zoe to get some insight on. Well, that's obviously the, the wrong prompt I've saved there. Let me try that again. Didn't wanna have to save save you having to... Me have to type it in or I still made a mistake there. Okay. So which supplier bills are at risk of late payment this week? So what exactly is going on here is that Zoe is going away. It's interrogating all the data that relates to those particular transactions within that prompt. It's performing an analysis for me, and then what it's gonna do is respond and return a condensed summarized query and a summary of the information or responding to that particular query itself. On top of that, it's then also gonna give me an extended analysis and breakdown of all the information that sits behind how it came to that particular insight. And on top of that as well, I'll also be able to take... Get visibility of this... The SQL statement that was used in order to interrogate a database. Alright. So it looks like the initial response from Zone & Co means that we're looking in good shape. At the moment, I don't have any supplier bills at risk of late payment this week now. So it's done an analysis up until, Sunday this week. If I take a look at the extended analysis, I can see it's giving me additional information in there and additional insights. So that was one. Let's take a look at another then. Let's see how about if we were to take a look at asking about a trend analysis of late supply payments this financial year. Are we improving or are we actually getting worse? So So I wanna find out, are we looking after our vendors? Are we paying them as efficiently as possibly we can? Is there further optimization that we can take within our payables process? So like it did before, it's gonna go away, analyze all of the data surrounding that particular prompt, and give me some feedback and insights into that that I can take action off of. Alright. So in this instance, I'm improving significantly. Zero bills overdue. Must be that I'm using a fairly sophisticated AP automation tool to help me process everything in a timely fashion. Who knows? We'll see more. But, again, there we go. Here is our extended analysis. We can see the underlying metadata that it was trawling through to come to the conclusion that it has. Even giving me a highlight around some legacy issues that might still be present. And if I also wanted to, I can take a look at that entire, SQL query that was, used as part of that prompt. Alright. So that was Zone & Co Zone & Co control center in Zoe. So there was no saved search. There was no export out into a spreadsheet to go figure out the trend yourself. Yeah. Control center's already holding everything absolutely in one place. And Zoe just means you don't have to actually go looking for it. You ask, you don't dig. That's it. That's the whole feature. Okay. Now then, before we move on to the next section, I'm gonna ask another question. They'll ask another poll here for you as well. Okay? So right now, if someone asked you which supplier bills were at risk of late payment this week, how long would it take you to answer? Your responses are gonna be, I could tell you right now. Next one could be a few minutes. Maybe you need to check something. Third option is gonna be, I have to build a report or pull a spreadsheet. And the fourth one is genuinely wouldn't necessarily know where to start. So I'll take a look into the poll section here and let's just see what people's responses are. Okay. Again, a fairly mixed group so far. Just give you a few more minutes. Interesting. Okay. And, look, for those of you out there that are saying you genuinely wouldn't necessarily know where to start, please don't feel guilty. You are certainly absolutely not alone, and it's very much more of a common answer than perhaps you would expect. So that was, answers before you even ask. Let's move on now to invoices correct before anyone's even looked. I mentioned our vendor that, introduced you before, Bennett Steam Cleaning Services. So in this particular topic, we've finally actually been sent something by that particular vendor. And it's gonna be a single PDF, and it's... But it's not actually gonna be one invoice. It's actually going to be three. It's gonna be three separate jobs, three separate purchase orders, all bundled into a single file because, of course, they are. Vendors could be difficult sometimes. Now let's just see what happens when we just upload it and get it out of the way. Now this is going to be Zone & Co Capture, and here's what I want you watching for, not what it does when everything's fine. Anyone can build a demo to show where everything is fine, but what it does when it isn't. So we'll switch across again into our demo environment, and we are back into that Zone & Co Capture interface that we saw before in our Zone & Co Control Center. So this is where I have my centralized zone capture, approvals, and AP patents interface and menu. And, again, I'm not going to go through exhaustively every single one of these different options that you can see in the menu. To start off with this particular scenario though, however, what we're gonna do is we're gonna do a quick manual upload of that file so that we can get it running through the system. Now for your information, there are three different ways of ingesting invoices into zone capture. The first method is via an email plugin. So for example, if you have a dedicated AP accounts payable at, email inbox or email address, you can set up a forwarding rule to have that then connected to the email... Standard email plugin within NetSuite and allow zone capture to actually ingest those PDF files as, vendor invoices via that method. So that's method number one. Method number two is exactly the option that you can see here. You can take that manual file that you've received and manually upload it into the OCR solution so it can actually do all the work for you. And on top of that, we have the ability as you see here, as I'm gonna show in a minute, that manual split within the invoices. And option three, within jurisdictions that it is appropriate for, we do also have an e invoicing capability. Able to ingest all of those vendor, transactions via XML instead. In this example, I'm just gonna select my subsidiary. I'm gonna do a manual split on my invoice. I'm gonna find my multi PDF, and I'm going to start processing that. And then what that's gonna do is it's gonna take us on to the next screen, which is the PDF split... Splitter. And it's gonna ask me then to segment down that file into each of the individual files that are represented for each of the invoices. So here are our three invoices. Yes. I've kept this nice and simple for demonstration purposes today, but I'm sure you can appreciate the times where it might become a little bit more convoluted if you've got many, many pages. Each of these invoices is actually spread across a single page. Okay. So I've just kept it nice and simple. As you can see, we've got three different invoices for different services. So we've got a steam cleaning service. We have an extra deep clean and a stain and odor treatment. God knows what's going on with those carpets. And then this third one's actually slightly different. It's actually going to be for some supplies that we're going to receive it. So we've got a couple of different scenarios at play here. And what the multi PDF splitter within Captcha is allowing me to do is it's already identified between each of the different pages where that line break is, and all I need to do is then actually just mark exactly where I want that split to be. Couple of clicks in the mouse, I can hit submit and process, and that PDF will now get ingested. Zone & Co Capture will scan using the OCR tool, all the information within each of those individual documents, create individual transactions for us, and then depending upon the rules that we have in the system, some different things are gonna happen. Now that would take a moment or two to actually process. So what we're actually gonna do is we're gonna fast forward in time is if we have actually uploaded that to actually see what the impact was. If we go take a look at our actual vendor record for Venditt cleaning services here, so just standard default NetSuite vendor record, we've got that insight into all of the transactions we may have done with them since they've onboarded as a vendor. And we can see in here that we have our three corresponding purchase orders to the purchase orders... To the transactions that were raised by the vendor itself. And so what's happened is that Zone & Co capture has automatically matched the vendor, automatically matched the purchase orders, has automatically saved that, and then it's gone through into an approval process and done that all in the background for us. Except it's only done it for these two bills here. We can see here for this purchase order, we're actually still stuck, and we're gonna go find out more as a bit to what happened there. So back on our Zone & Co control center, if you see the most... Arguably, the most important metric on the entire screen, what work have we got to do today? If I click into the build to process screen, you're presented with this list of transactions that Zone & Co capture is looking to create for us. I... As you can see, it's doing multiple things here in terms of matching up vendor records, matching up either individual or multiple purchase orders if those are things that you use. And, really, this is just a validation screen. Anything that has not met the criteria for automatic processing, if everything is within certain thresholds that we've configured within Zone & Co Capture configuration rules, and, actually, we have auto processing set up. Actually, a whole host of those vendor invoices that come through, we're gonna get automatically auto processed and put through into the approval process and won't even necessarily touch this screen. The important thing about this screen is this this is where we actually want your AP teams to be spending their time. These are the transactions that we flagged by the system whereby we need your insight. We need your input, your skills, and experience as to exactly how we want the business to deal with this particular transaction because perhaps there is an edge case or an exception of some sort. And lo and behold, we see we've got our transaction from Andrew Bennett. It's matched it up successfully to the vendor. It's It's matched it successfully to the purchase order, and we can see that it's ready for processing. But why didn't it auto process? So we click on the process button. You can actually take a look at that vendor bill itself. And so here we are. And so if we look over on the left hand side here, we have that original invoice and transaction that we captured via the manual upload itself. We can see what criteria Zone & Co Capture has been using to match against, the data that we have within the database itself. In particular, really key multi tier matching criteria, unique identifiers such as ABNs are quite important. And everything is matched up correctly. We can see that our overall amounts match. Our taxation has been calculated correctly. In fact, as I cursor over each of these different columns... Fields here, you can see that the corresponding field is highlighted. So if I go to tax, we can see exactly where it is that the OCR reader is reviewing. Andrew, we. have a question. Oh, we got a question already, have we? Okay. Yes. Let me. pause. then for a second. Alright. Yes. Nenanka has asked, long... Yes. Yes. Go, how it, long. does it take for the rules, how long does the rules, clickable PDF AI, take to learn how to process the invoice before we turn it into an automatic, you know, functional. process? That's a that's a great question. So I think the the best way for me to answer that is to speak to the implementation process. So as part of that process, we will ask all of our customers to submit a, a sample pool of their most common templates that they get from their their most, common suppliers. Out of the box, I couldn't give you necessarily a number you could really accurately hang your hat on, but I very much anecdotally see that out of the box, the matching against things like vendor details and vendor records is about roughly 80% straight away. And so what we do as part of the implementation process is we take some of those sample files for you, and we train them in in real time on those actual files so that the OCR system learns every time we're receiving an invoice from Bennett Steam Cleaning Services. We actually don't need to necessarily look at this particular field here. We need to look over here instead. And so ostensibly that training is real time. Every time you come back into the PDF and click and point it at a different field, it's also going to be there available to you in real time. And so that repetition is what further, updates and helps the system learn. Hopefully that that answers your question. Thank you, Alright. Andrew. Thank you, Robert. Okay. So everything looks alright on the surface. If we look down further below, we can see that CAPTCHA has matched up the line items to what it is we need to actually be consuming within our transaction itself. It's even gone ahead over at the line item level and matched up that purchase order there as well. So where's the issue? Because we have this linked into a purchase order, we now have the capability to utilize the three way match feature within Sent Captcha as well. And so what we're seeing on the screen here is three different things. We have our originating purchase order and all the details relating to that. We have what is being read by the OCR tool and the vendor bill. And here perhaps in the middle, we'll see the key clue. We have our item receipts from the warehouse. And in particular we can see there is a discrepancy being flagged for us here. We have not received everything that we are actually expecting. And if I cursor over that again it tells me that. Everything else is matched up. If I'd had other issues with this particular transaction such as a variation in the rates or the overall amounts that we are being charged, like we have with that partial receipt, we would have an alert on the screen that you can cursor over and it'll show us more information. Now at least from an amount standpoint, we can see that everything, with a nice visual there, is matching up correctly, except we're still short. So what to do? I've got a couple of choices here. Again, maybe the eagle eyed amongst you have noticed across the bottom of this particular invoice, we can see that the invoice is going to be dispatched in two deliveries, and the second delivery is actually in transit already. Now I could call the vendor and I could ask them. But if it's actually already in transit, what I'm actually gonna do is go ahead and speak to my team member in the warehouse and ask them about it. So I speak to Robert Jurcec in the warehouse. There he is on the phone. He's saying, yes absolutely Andrew Bennett. I can see that order in front of me. I'm also in front of the computer screen myself. I'm going to just mark and update this for us. So you can see here is our originating purchase order where we had some cleaning supplies as part of the cleaning and maintenance service that they provided us. We're gonna receive in those extra goods there, close the loop, and then we'll refresh the screen on our transaction. And, hopefully, if the NetSuite gods are being friendly to us, we can actually close out that... Save that transaction and continue on with our story. So I've saved that down now. I'm just having a little think as it receives it in. I will... I take the opportunity for a quick sip of tea whilst it is doing its thing. And I'll only wanna refresh this once. Okay. So that one's done there. Now if I refresh, invoice, we will see that update into the three way match. Everything will be hunky dory, and everyone will be happy. Now whilst that screen is reloading, I will touch briefly on this Zone & Co sub list that you can see at the bottom here. I could still have saved that transaction without necessarily going through the process of getting that item receipt updated in the system. If that had been the case, Zone & Co would have prompted me to say, hey. Things don't quite match. You're okay to still necessarily save this or submit it through an approval process, but you need to justify your reasons because it will be shown in the logs that there was not that match. So once that refreshes and we click back onto our Zone & Co tab, we would see line item by line item within that history here. Once it's saved as to exactly what went on within that three way match, If we go into it now, we can see, wonderfully, everything is correct. We're happy, and so we can now save that down. And our report is ready to either post into a journal or to throw into it into the GL or move on to be submitted into an approval process, which we're gonna do within our next step here. So whilst that's saving, let's pop back to where we live on the screen. So two of those three invoices never needed anything from us at all. Right? They match. They verified. They were done before I'd even finished my cup of tea, in fact. Right? Now the third one isn't needed exactly one phone call, not a week of email, not a query sitting in someone's queue going stale because the system didn't guess. It just told us precisely what didn't add up and let us go and fix the actual problem. And that's the whole point. It's not that nothing ever needs a human. It's that only... So they only ask for one when something genuinely actually does need a human involved. So... And now that invoice, the one we just sorted out, doesn't just sit there fixed and forgotten. It moves on. It still needs to have a yes on it. So let's follow it across and see what happens when it lands in front of someone who's actually approved it. So here's where it lands next. Watch what actually happens once it needs a yes. And while we're in there, I'll show you where the rules are for that live. I'm not gonna change anything today. Just pointing at it because eighteen months from now, your thresholds, your departments, your exceptions won't look like they do today. And I want you to see how this all stands between we need new rule and actually having one. Now we're going to now leverage zone approvals and get this vendor build approved. Zone & Co approvals is designed for businesses that want to automate and simplify workflows to gain and gain full visibility and reduce bottlenecks all natively within NetSuite. And it's best suited for companies that need flexible role based routing, bulk approvals, and mobile friendly workflows to keep operations moving efficiently. So let's go back into our vendor bill. Hopefully, that's all showing on the screen here. And just to finish off where we were before, looking down our zone capture sublist here is our audit trail. Again, eagle eyed viewers out there, you will notice we have another sublist here for zone approvals. And like we have for CAPTCHA, we will have a full audit trail of every single step and stage that this particular transaction needs to go through. As you can see, our status is currently pending approval, and I have a nice handy button here to submit it for approval. And that's what we're gonna do. Just gonna hit it submit for approval. I don't need to know what the rules are for that approval. I don't need to know who... Where it goes to, who it needs to go to. I know that I can be confident that the matrix that sits behind that is gonna do all the logic and all the hard work for me and wrap that off to those that actually need it to. Now there are three different ways that you can approve transactions within zone approvals. The first one is if you noticed back on my main home page, if I come back at the top here, you've got the ability to bulk approve, and reject transactions, within NetSuite as a a full NetSuite user. So that's option number one. Option number two is that you can approve them via the zone employee center as well. Number three is you can actually also do it via email, and the demo gods are just being a little bit horrible to me. As you can see, it's just immediately logged me out as soon as I switched across. Hopefully, it'll be kind and pop up that example on the screen again for us. I will give it a moment. Let me try and see if I can call that one back again. It's just to show you how live and real time all of this is. Mhmm. Here we go. Let's just take a look at one here for the sake of argument. Alright. Now, of course, if I had a little bit more creativity than five blind moles in a paper bag, I would probably put a company logo on here, but I am at five blind moles in a paper bag. I don't have that. What you are seeing here is a predefined HTML template that you have full control over. And so of course, you would embed your company logo within that template. Everything else that this non NetSuite user needs to know about approving this transaction is all referenced and listed within this template itself. The transaction ID, what they need to do, what it is that they're actually approving, and we can even see a copy of that actual transaction itself so we can actually get proof point of what it is that they can understand of what they are approving. Now we've got two options, pretty self explanatory, reject or approve. So as a cursor over, you can see that these are actually magic buttons that we can use as part of that. So I can just click one click approve, one click reject. Also, we can also, specify magic keywords as well. Maybe someone prefers to actually type approved if they can spell correctly and it will pick up on that keyword as part of the email plugin for the approval process. If they, for instance, maybe they rejected something and they actually wanted to put in a reason for it as well just by utilizing hashtags or, bracketing things and hashtags will allow any commentary on that as well. So maybe I said, oh, it was too expensive. I'd hit send, off that goes, and that particular transaction would be approved or rejected accordingly. So if we now take a look at our transaction that we're originally on, we can see that actually it's automatically just sailed through and be approved. Now the reason for that or the logic for that that sits behind it is all within Zone & Co approvals matrixes, Matrixes. What's the plural? Someone please help me out with the chat. Is it make make... Matrix? Matrixes? Make... Matrices? Whatever. This is where the rules are. The make... Each matrix for your logic. This is where you specify each of the rules that you want to actually have triggered off within a particular workflow within a particular hierarchy. Okay. And here is what one of those looks like. Again, I'm not gonna go into ad nauseum details to how you build these out, but you'll see you can specify within the configuration, give it a name, determine which particular subsidiary or subsidiaries that this applies to, what particular record types the Zone & Co approvals currently layers over the top. We just saw vendor bills. But, of course, you can utilize the same approval logic for expense reports, POs, invoices, and more, and so on and so forth. Okay? That's where you decide. It's all drag and drop. It's all very, very easy to utilize, and the whole point being is that it's supposed to be as flexible as possible. And so the business users who have the knowledge about the business and not necessarily deep technical knowledge about NetSuite, they have the ability to bring any additional changes, modifications, evolutions into effect. Alright. We are almost there. You can all start to breathe a sigh of relief. So that transaction was approved, and it's worth noting where that actually happened. I I wasn't locked into NetSuite. You're not hunting through a queue. It was actually an email, one click and it was done. And that matrix that I just showed you, that's the whole surface. There's no ticket, there's no separate team, no waiting on someone else to make the change when the business needs to move. So nothing here stalls on waiting on someone else to notice it, and nothing here stalls waiting on someone else to fix it either. Alright. Last one. We had Bennett steam cleaning, invoice matched, approved. And right now, in most AP processes, this is exactly where the story quietly falls apart. Approved doesn't necessarily mean paid. Someone still has to log in to a banking portal, reenter the payment details by hand, upload a file, and then just hope the bank read it correctly. Now watch what happens here instead. I'm gonna spend more time telling you about it than I am actually going to be showing you. I'm gonna confirm the beneficiary. I'm gonna confirm the account we're paying from and hit one button. That's it. But the reason that's not actually underwhelming is everything that's happened the moment I click it. This runs through Zone & Co under the hood. So the vendor gets paid correctly whatever currency or rail that actually requires without either of us or anyone touching a separate payment system to make it happen. So let's go take a look at what that looks like. So here we have once again with Bennet clean... Steam cleaning services bill. Once again, you eagle eyed people amongst you will notice we have another handy button up at the top here. Alright? I'm gonna hit that in a minute. We just click onto our AP automation tab. I can see that it is sourced in default information from the Bennet that is linked to the Bennet Steam Cleaning Services file, most importantly being our beneficiary accounts. Okay? So they have their bank account set up. I've got a snapshot glance of what the payables account balance looks like, the GL account balance looks like as well. If I'm comfortable with all of that, one click will go off without us having to leave the system whatsoever and perform that payment for us. Okay. Now, of course, it's not a 100% instantaneous, but it is pretty quick. If we were in a lucky place, if I were to refresh our vendor record, we would actually be able to see a further update onto this. I suspect that we will at least be able to see the update to the transaction where at least it has been billed. We'll see if it's been paid in full as well. Oh, look at that. It has been fully paid... Sorry, fully billed. And then given a few more moments once that other transaction actually finishes up, it will actually be, paid in full and marked accordingly as well. Easy peasy. Alright. Done. Then it's cleaning services have been paid and I never left the system I approved that invoice in. No portal, no file export, no second login, no checking back later to see if the bank actually picked it up. It's just tracked right there on the transaction itself and that's the whole loop start to finish. Invoice without rekeying, approved from wherever we were, and paid without ever leaving the room we approved in. That's Andrew Bennett services done properly the first time. So this is what we've walked through today. We looked at answers before you can even ask using Zone & Co control center and Zoe so you can know where every invoice approval and payment stands without building a report to find out. We then touched on invoices correct before everyone's even looking using Zone & Co capture so you can stop rekeying numbers you can actually read and only step in when something actually needs you. Next, we had sign off sorted before it stalls using Zone & Co approvals. So you can keep changing your approval rules as the business changes. New thresholds, new departments, new exceptions without every change becoming a project and let people actually approve work from wherever they are, email included. And then finally, we had paid where it was approved using Zone and Co payments. So you can go from approved to paid without ever leaving the system you approved it in. No bank portal, no file upload, no second place to check. And look at where the work actually went at every step. Two invoices matched themselves. The one that didn't took a phone call, not a week of emails. The approval happened from an inbox, not a login, and the payment went out without anyone opening a second system to make it happen. That's the pattern. Not everything's automated. Plenty of it still needed a person. So the person only got pulled in when something genuinely needed them and even then it was fast. That's what it looks like with a fictional vendor. Now here's what it looks like in the real world and what kind of results you can expect. So we'll start with CAPTCHA because that's where most of this breaks down for people. 83% faster invoice processing than manual workflow, and that's not a marginal improvement. That's difference between invoices queuing up and invoices just being dealt with. Twenty five plus hours a week back because that's your time your team was spent rekeying numbers they they could already read. And more than 90% fewer errors because errors that actually start the approval stage, they start the moment someone types a number in wrong and everything downstream just inherits that mistake. Over 1,500 customers are running on this, which tells you it's not an edge case, it's the norm. Then we have approvals, 100% audit visibility in real time, not reconstructed after the fact when someone asks where something went. 99% fewer approval errors because the mistakes that usually happen there are routing mistakes, not judgment mistakes. Wrong approver, wrong threshold, and those just don't happen when the system's doing the routing. And then finally, payments. This is the stage most AP automation conversations don't even get to. 200 plus countries and territories, a 140 plus currencies, all in one workflow. Because the moment you're paying anyone outside your own country, most processes fall back to manual. Real time foreign exchange rates. So you're not finding out what you're actually paid after the fact. And 60% faster than manual bank uploads, which is really just the same story as CAPTCHA. Less reentry, fewer places for it to go wrong. Alright. Now that show of hands at the start, chasing down what actually owed on an invoice instead of just paying it. Sticky notes. The three versions of the same spreadsheet, one long suffering colleague who's the only one who knows what any other thing is. Now here's the honest bit. None of that actually goes away because you watched the demo. What changes is who's chasing what. That invoice didn't sit in a queue waiting for someone to notice it. It got matched or flagged with a reason the moment it landed. Nobody built a fourth version of a spreadsheet because there wasn't one to begin with. And no one had the long suffering colleague who holds it all together because nothing needed holding together in the first place. So the maths I gave you at the start, scattered invoice capture plus approvals, nobody can see equals manual cleanup, delayed sign off, limited visibility. That's not wrong. It's just not your maths anymore. Okay. Quick pause for for breath again just to see if there are any further questions, posed by the group. If I look into here, I can see just one or two more. Let's see. So, the first one then, does this mean we need to switch banks to use AP payments? So the answer to that, no. Absolutely not at all. You very much keep your existing bank exactly as it is. All Zone & Co. AP payments does is handle the execution. Transfer makes doing all the heavy lifting behind the scenes, whatever currency or route that actually needs, to go through. But the funding still comes from the account that you're already using. You're not opening anything new. K? Alright. I don't know if we have any other further questions then. Let's finish this off because I see we're also pretty close bang on to the time here as well. It's almost like I've planned it like that. Now everything that we just walked you through, the fragmented handoffs, the manual AP work, the approvals and payments that still live outside of NetSuite, none of it fixes itself. So here's exactly what I would like you to do right now. I'd like you to book in your complimentary procure to pay assessment. It's free. It's sixty minutes and it's built entirely around your business. Not a generic demo, not a sales pitch. The OneKloudX and Zone & Co teams sit down with your vendor base, your approval structure, your NetSuite setup, and map out exactly where AP is losing time, control, and visibility. Now let me tell you what happens within that sixty minutes because this is where the real value is. The first one there you can see on the screen, vendor onboarding and data. Now our data's being set up through a control validated process, or our banking details still arriving by email and spreadsheet. This is where most downstream AP errors and a lot of fraud risk actually start. Number two, invoice capture and coding. How much manual effort does it take to turn in an incoming PDF into a clean, coded, approved, ready bill in NetSuite? Most teams never actually measure this, and we will. Number three, purchasing and matching. Our POs, receipts, and bills being matched automatically with exceptions being surfaced in your team. Number four, we have approval workflows. The bills route by rule to the right approver with escalation and a full audit trail. Number five, we have payments and reconciliation. Once a bill is approved, does a payment happen inside NetSuite workflow or does it drop back out into a bank portal or manual file and get reconciled after the fact? And then number six, we do a systems data and close. Does AP data flow continuously internet suite reporting and your month end close or is your team still living in spreadsheets rekeying the same numbers three and four or more times? That's the assessment. Six areas, sixty minutes, matched entirely to your business. You walk out with a clear picture of exactly where you stand and exactly what to fix first. So here's the only question left to answer. Are you ready to personalize this strategy for your business? Everything we've talked about today is all... Is... You have to know exactly what it is that it's costing you, and you need to know exactly what it... To do about it. So scan that code on your screen right now. That code goes straight to our team, and we will personally help get your procure to pay assessment scheduled. Please don't ever think this. This absolutely isn't a sales pitch. It's a working session built entirely around your AP process and your NetSuite environment, and it costs you nothing. The only thing you can lose by booking is the time it takes to scan the code. Now we're gonna leave this up here for a minute. So take your time to scan the code, and it will still be right here. That's it from me today. I really wanna say thank you very much, for spending this time with me. Look forward to to speaking with you all soon.
